👥 Roles and permissions
The following roles can link proof to a request:
Administrators
Compliance managers
Users
Proof can be manually uploaded or linked or via a label.
💡 Tip
For more information see the Linking proof to a request video.
A single piece of proof can be linked to multiple labels, as that evidence may apply to different requests in your audit or assessment. Labels also make reusing proof across requests nearly effortless. For information on reusing proof with labels, refer to Reusing proof.
📝 Note
The user assigned to upload proof to a request, continues to receive notifications about that request until it is set to Approved or Closed, even if they have uploaded the requested proof.
Things to keep in mind
By default, when an external auditor creates a request, they become a manager on the request. Even though they are a manager on the request, they cannot upload proof.
To link proof to an audit request, you must be a member of the audit or the request.
To view proof on a request, you must be a manager of the audit. Even if you are a manager on the request, you won't be able to view proof unless you are also a manager of the audit.
Example scenario
User A is a compliance manager in the organization.
User A has the role of manager on the request.
User A has the role of contributor on the audit.
User B links proof to the request.
User A is not able to preview the proof uploaded by User B. If they attempt to view the proof, Hyperproof displays a message stating that they do not have permission to view or download the proof.
Linking proof to a request manually
Requests can be linked to audits or assessments. Note that a user does not need to be added to an audit or an assessment to be added to a request.
From the left menu, select Audits or Assessments.
Select your audit or assessment.
Select the Requests tab.
Requests tab in an audit.
Requests tab in an assessment.
Select the request you want to link proof to.
In the right pane, click Add proof.
Hyperproof only supports uploading up to 1GB of proof in a single upload.
Add your proof in one of the following ways:
Drag and drop files onto the proof grid.
Click Add proof and select one of the following:
My Computer - To use proof stored on your computer, click My Computer in the upper-left corner.
This <object> - To use proof stored on objects linked to an evaluation or audit request, click This <object>.
Cloud storage integration - To use proof stored in an integration, such as Drive, select the integration’s icon from the Add integration section in the bottom-left corner. Optionally, turn on LiveSync to automatically keep your proof up to date.
Paste a link - Select this option to use a website URL as proof. The URL is rendered as a “Link” file type in Hyperproof; the only information shown in the file is the URL.
Paste an image - Select this option to use a screenshot as proof. Take a screenshot (Cmd-Shift-5 on Mac, Shift-S on Windows), copy it to the clipboard, and then paste it in Hyperproof. Chrome users may need to allow this functionality. If prompted by the browser, refresh the page after clicking Allow.
Existing proof - To reuse proof that already exists in your organization, select either Labels, Proof, My Controls, Vendors, Risks, Policies, or Programs from the left menu.
📝 Note
When selecting existing proof on a policy, only effective and retired policy versions display.
💡 Tip
Use the This request option on the Proof Picker to find proof attached to objects linked to the request more quickly. Clicking This request displays a list of all objects linked to the request that contain proof.
📝 Note
When linking existing proof to a request, you have the option to also add the proof to a label. In the Proof Picker, select This request from the left menu, then select the proof you want to add to the label. Click Add proof and label.
