Adding a user to a control scope

Roles and permissions

The following roles can add a user to a control scope:

  • Administrators

  • Compliance managers who are managers on the parent control

  • Compliance managers who are managers on the control scope

  • Users who are managers on the parent control

  • Users who are managers on the control scope

  • Limited access users who are managers on the parent control

  • Limited access users who are managers on the control scope

When working with the scopes feature, you can choose to add users either to the parent control or to the control scope.

If you add a user to the parent control, they will also be added to each control scope. Note that their image or initials will not appear in the control scope's facepile; they appear only in Member Access > Inherited Access.

If you add a user to a control scope, they will only be added to that specific control.

Prerequisites: A parent control and a control scope.

To add a user to a control scope

  1. From the left menu, select Controls.

  2. Select the parent control.

  3. Select the control scope you want to add the user to.

  4. Click the + icon in the upper-right corner.

    The Member access window opens.

  5. Below Add new, do one of the following:

    1. Select the Users radio button - Adds a single user to the control scope.

    2. Select the Groups radio button - Adds a group to the control scope.

  6. From the Name drop-down menu, select an individual user or group.

    Tip: You can select multiple users as long as they have the same object-level role.

  7. From the Role drop-down menu, select the user or group role.

    Facepiles are found on all individual objects, such as risks, and in parent modules, such as the Risk Register. You can add a user to a specific object OR the entire module.

    Object roles include:

    • Managers

      • Can manage content, members, and settings

      • Can share, add, edit, or remove files

    • Contributors

      • Can share, add, edit, or remove files

      • Cannot add members or manage settings

    • Viewers

      • Can view information about objects where they are a member or have inherited access

      • Can export objects from the grid view if they are members of the objects or have inherited access

  8. Optionally, enter a message. This message is included in the email notification sent to the user, letting them know that they are now a member.

  9. Click Add.

    The user or group is added to the control scope.

    If notifications are enabled, an email is sent to the user or group members notifying them that they have been added.
