Work items : Tasks

Written by Hyperproof Support
Updated this week

Tasks allow users to ask other members of their organization for proof, or to remind themselves of something they need to get done. They can be linked to the following objects: requirements, controls, labels, issues, risks, audit requests, evaluations, and vendors.

Tasks created on objects have a clear destination for the proof, meaning that when the task is closed, the proof linked to it shows up in the proof section of the originating object.

Tasks can be edited via the object they're linked to or from the Work items tab. Any changes you make via the Work items tab are reflected in the relevant object that the task is linked to. For example, if you change the description of a task attached to a label, the new description appears in the task if you access it from the Labels tab.

Auto-generated task IDs are unique across your organization and can't be edited. The ID pattern is T-N, where N is a sequential number.

Who can create a task?

Any user who has been added to the relevant object, e.g., a control, can create a task. When you add a task to an object, you’re collecting proof for that object.

Can a task be assigned to a group?

Yes, tasks can be assigned to groups. For some organizations, it’s hard to know exactly who should be assigned to complete a task. Oftentimes, all you are sure of is which team is responsible. Assigning a task to a group allows the group to decide which member is ultimately responsible for completing the task.

When a group is assigned a task, all members receive a notification. Any group member can assign themselves as the task owner.

Can a task be assigned to a contact?

Yes, tasks can be assigned to contacts. When you assign a contact a task, the contact receives an email where they can view the task outside of Hyperproof. The only action the contact can take is to add proof and then submit. Once they’ve added and submitted their proof, the proof is accessible from the task and from the proof main list (Proof tab).

Note that because a contact can only add proof, the task owner is responsible for updating the task status.

Viewing tasks

You can view tasks you’ve created, are a member of, or that are assigned to you via the Work items tab.

To edit a task from the Work items tab, select the Tasks tab, and then select a task. Any changes you make here are reflected in the relevant object that the task is linked to. For example, if you change the description of a task linked to a label from Work items, the new description appears in the task if you access it from Labels.

Auto-generated task IDs are unique across your organization and can't be edited. The ID pattern is T-N, where N is a sequential number.

Assigning a contact to a task

When you assign a contact a task, the contact receives an email where they can view the task outside of Hyperproof. The only action the contact can take is to add proof and submit. Once they’ve added and submitted their proof, the proof is accessible from the task and from the proof main list.

Note: Because a contact can only add proof, the task owner is responsible for updating the task status.

Using tasks with Jira

Hyperproof natively integrates with Jira. The Jira integration is bidirectional, meaning it provides a two-way sync of Jira issues and Hyperproof tasks, which allows you to manage your work without disrupting your workflow.

Refer to Creating a Jira issue in Hyperproof or Attaching an existing Jira issue to a task for more information.
