Replacing a policy document

The following object roles can replace a policy document in a version:

  • Anyone with manager or contributor permissions for the policy.

In Hyperproof, a policy contains one or more versions, and each version contains a single policy document or file. Once a policy version has been created, you can upload a policy document or file. See Understanding policy versions for more information. Documents can be added to an empty version or replaced in a version that already has an existing policy document.

The replace option is used for policy documents edited with an external editor, such as Google Docs. Documents being edited using the internal editor can't be replaced with an external document. They can only be edited.

Note: If the LiveSync option is on for the file, changes to the external document are uploaded automatically.

To switch to a different external file, you must turn off LiveSync first, select the new file, and turn it back on if applicable.

To replace a policy document in a version

  1. From the left menu, select Policies.

  2. Select the policy where you want to add the policy file.

    The Overview tab displays.

  3. Select the Document tab.

  4. Select the correct version from the View drop-down.

  5. If LiveSync is on for the current file, turn it off.

    When LiveSync is off, the Sync now button changes to + Replace file.

  6. Click + Replace file.

  7. Select the new policy file from one of the following:

    Note: Only the Cloud Storage option supports LiveSync, which automatically updates a file in Hyperproof when changes are made to the source file. All other options require you to manually update the file whenever changes are made to the source file.

    • My Computer - To select a file on your computer, click My Computer and browse for the file you need.

    • Paste an image - Select this option to use a screenshot as your policy file. Take a screenshot (Cmd-Shift-5 on Mac, Shift-S on Windows), copy it to the clipboard, and then paste it in Hyperproof. Chrome users may need to allow this functionality. If prompted by the browser, refresh the page after clicking Allow.

    • Paste a link - Select this option to use a website URL as your policy file. Only the Name, Link, and Description are displayed in the document viewer. No other data is stored in Hyperproof. Anyone attempting to view this file must click the link to open it.

    • Cloud storage integration - To use a file stored in an integration, such as Google Drive, select the integration’s icon from the Add integration section in the bottom-left corner. Optionally, turn on LiveSync to automatically sync changes on the cloud file to Hyperproof.

  8. Click Add.

    The policy file displays.
