Exporting proof from the Proof tab

Roles and permissions

The following roles can export proof from the Proof tab:

  • Administrator

  • Compliance managers

  • Users

  • Limited access users who are members of the selected proof

When exporting proof from the Proof tab, keep in mind the following:

  • You can only export private proof if you are a member of that proof. The lock icon in the grid next to the proof name indicates that a piece of proof is private.

  • You can't export all proof in a single export. If you select more than 1GB of proof, Hyperproof exports it in batches of 1GB, up to a total of 5GB. For example, if you select 2.5 GB of proof, Hyperproof generates 2 ZIP files of 1GB each and a third ZIP file of 0.5 GB.

  • Hyperproof can turn off the ability for External auditors to download or export proof upon request.

  • When proof versions are expanded and one or more pieces of proof are selected, the only bulk options available are Clear and Delete.

To export proof from the Proof tab

Tips:

  • Click the Filter icon in the upper-right corner to filter results based on who owns the proof, who uploaded the proof, and/or when the proof was uploaded.

  • Multiple selections within the same filter limit results to objects that meet either selection. For example, selecting both Person A and Person B in the By assignee filter shows only objects assigned to either Person A or Person B.

  • Selections across filters limit the results to objects that meet both filters. For example, selecting Person A from the By assignee filter and Issue from the By type filter shows only issues assigned to Person A.

    Additional example: In the By assignee filter, both Person A and Person B are selected. In the By type filter, both Issue and Task are selected.

    Hyperproof creates a list of objects that are assigned to either Person A or Person B, and a separate list of objects that are either issues or tasks. It shows the objects that are in both lists.

  1. From the left menu, select Proof.

  2. Select the checkboxes next to the proof that you want to export.

  3. Click Export.

    The Export proof window opens.

  4. Do the following:

    1. From the Organize by drop-down menu, select how you want the proof to be organized.

      • By control - One folder per control that contains all of the proof linked to that control.

      • By label - One folder per label that contains all of the proof linked to that label.

      • By control and label (if exporting proof from a program) - One folder per control. Each of those folders has one sub-folder per linked label. Proof that is linked directly to the control is included in the main control folder. Proof that is indirectly linked to the control via the label is included in the label folder.

      • By flat list - One folder that contains all of the proof you selected.

        Note: Selecting By flat list ensures that the same proof isn't downloaded more than once. For example, if you select By control and the same piece of proof satisfies 3 controls, the proof file is downloaded 3 times. This increases the size of the zip file, which may exceed the download's file size limit.

    2. Optionally, but highly recommended, select the Prepend filename with Control ID checkbox to include the Control ID at the beginning of the filename.

    3. To specify a specific date range, select the Select date range radio button.

    4. Optionally, select the Include requirement proof checkbox to include proof linked to requirements.

    Tip: The total proof size is located at the bottom of the Export proof window.

  5. Click Export. The proof is gathered in a single folder and downloaded as a zip file.

    Click the Download button in the bottom-right corner to download the file now, or check your email to download it later.
