Editing a task

Managers can edit the main task properties, while contributors can only edit tasks they created. Task assignees can link proof, submit the task, and re-assign the task.

Only administrators can delete proof from a task. Additionally, linking proof does not automatically change the task’s status. Changing the task’s status must be done manually.

Auto-generated task IDs are unique across your organization and can't be edited. The ID pattern is T-N, where N is a sequential number.

When you edit a task, you can:

  • Change the name, description, status, assignee, priority, due date, and/or target (Hyperproof supports up to 250 characters in the task title)

  • Link to (or remove) an external Jira, Asana, or ServiceNow issue

  • Link proof

  • Comment on the task via the task's Activity Feed

  • Duplicate the task

  • Add a user to the task

    Assignees are given the contributor role. Contributors can link proof, comment, change the status, and/or reassign the task. They cannot edit any other fields, link a task integration, add another contributor via the facepile, or make changes to member roles.

    The task creator is given the manager role. Additionally, managers of the target object inherit the manager role on the task. Similarly, contributors of the target object inherit the contributor role.

    When assigning a task to a contact, the contact experience is unchanged from before.

Users receive notifications any time a task is assigned to them, the due date changes, the task is submitted, or a task created by them or assigned to them is updated by another user.


Tasks can be edited individually or in bulk.

You can also access tasks via Work items. From the left menu, select Work items, and then select the Tasks tab.


Editing a single task linked to an object

  1. From the left menu, select the tab that corresponds with the object the task is linked to. For example, if the task is linked to a control, select the Controls tab.

  2. Select the specific object. For example, if you want to edit a task linked to control ID 1234, select that control.

  3. Click the Task icon. Skip this step if you have the Task panel pinned.

  4. Select the task you want to edit.

  5. Do any or all of the following:

    1. Enter a name for the task (required).

      Task titles have a 250-character limit.


    2. Enter a description with any additional information the assignee might need. The following rich text formatting is supported: bulleted and numbered lists, headings, links, code, emojis, bold, italic, and strikethrough.

    3. From the Assign by drop-down menu, select Individual or Group.

      1. Individual - Assigns a single individual to the task. Select an assignee from the Owner drop-down menu.

        Use the Unassigned option at the top of the list of assignees to leave the task unassigned until later.

        Email notifications are not sent if the individual creating the task is also the assignee. If the assignee is different from the individual creating the task, the assignee receives an email notification indicating that they've been assigned a task.


      2. Group - Assigns a group to the task. Select a group from the Group drop-down menu. By default, the group lead is designated as the owner. If the group doesn't have a group lead, select an individual from the Owner drop-down menu.

    4. Change any of the following by hovering over the field value and clicking the Edit icon. Note that the task's status and target cannot be changed until the task is created.

      1. Due date - Select a date from the calendar.

      2. Priority

      3. Target - When the task is closed, proof attached to this task is linked to the target object. If necessary, you can change the target on a task after it's created.


        πŸ“ Note

        If the task has an approval configured, the proof can't be attached to the target object until the approval process is complete and the proof has been approved.



      πŸ“ Note

      Proof cannot be linked until the task is created. When proof is uploaded, it's linked to the task and is visible in the task's proof area. The proof remains linked to the task until the task is submitted and closed. Note that if there are several pieces of proof linked to the task, you may need to use the scroll bar to view all of the proof.

      If the task has an approval configured, proof isn't attached to linked objects until the proof is approved, and the task is submitted and closed.

      When the task is closed, the proof can be found in the task's proof area, the linked object's Proof tabβ€”e.g. the Proof tab of a controlβ€”, and in the organization's main proof list. This activity can be observed in the task's Activity Feed.


    5. Under Automations, if the Auto-close task when submitted option is toggled on, Hyperproof immediately marks the task Closed when the task assignee uploads proof and submits the task.


      πŸ“ Note

      If the Automations > Enable approvals option is toggled on, the Auto-close task when submitted option changes to Auto-close task when approved. When toggled on, Hyperproof marks the task Closed when all approvals are completed. See Creating a task with an approval for information on configuring approvals.



    πŸ“ Note

    By design, if a task assignee changes a task from Not started to In progress, the task status still shows Submit. The Activity Feed shows the actual status of In progress.


    Hyperproof automatically saves your changes.

Editing tasks in bulk

  1. From the left menu, select Work items.

  2. Select the Tasks tab.

  3. Select the checkboxes next to the tasks you want to edit. To select all tasks, select the All checkbox in the upper-left corner of the grid.

  4. Do any of the following:

    1. Click Export to export the selected tasks to a CSV.

    2. Click Duplicate to create duplicate tasks of the selected tasks.

    3. Click Delete to delete the selected tasks.

    4. Click Status to change the status of the selected tasks.

    5. Click Due date to change the due date of the selected tasks.

    6. Click Assignee to change the assignee of the selected tasks.

    7. Click Priority to change the priority level of the selected tasks.

    8. Click Members to add or remove members to/from the selected tasks.

      Roles and permissions overview for objects

      Facepiles are found on all individual objects, such as risks, and in parent modules, such as the Risk Register. You can add a user to a specific object OR the entire module.

      Object roles include:

      • Managers

        • Can manage content, members, and settings

        • Can share, add, edit, or remove files

      • Contributors

        • Can share, add, edit, or remove files

        • Cannot add members or manage settings

      • Viewers

        • Can view information about objects where they are a member or have inherited access

        • Can export objects from the grid view if they are members of the objects or have inherited access
