π₯ Roles and permissions
People with the following object roles can update the directory of company employees for an access review:
Anyone with manager permissions for the access review
To refresh a directory for an access review, create an updated CSV file and import it into the directory you want to update. You should only modify your employee list when the access review status is In setup. Keep in mind that this process deletes the existing employee information and then adds the new employee information. For more status information, see Setting access review status.
π Note
If you created the directory using a Hypersync, you can't refresh the directory by importing a CSV file. You can either delete the directory and create a new one from a CSV file or sync the Hypersync. For more information on syncing, see Refreshing a directory using a Hypersync.
π Note
If you have configured one or more application user lists to assign direct managers as reviewers, updating the direct managers by refreshing the directory doesn't modify previously assigned reviewers. See Using direct managers as reviewers for user access for more information.
CSV requirements
Use the table below for guidelines on the fields and format required to import your employee list in a CSV format.

Column name | Description |
Required. User access records are matched to a user record in the directory using the email address when possible. It must be unique. Matching user records is important if the user's direct manager will be assigned as the reviewer during the access review. See Using direct managers as reviewers for user access. | |
Name | Required. The first and last name of the employee should be included in this field. User access records that do not have an email are matched to a user record in the directory record using the Name when possible. If your export file has separate fields for first and last names, you must merge them into a single field. |
Department | Department where the employee works. This field is displayed on the user access record during the access review. It is optional but may help determine who should review a user access record and what access level that user should have. |
Job title | Title the employee currently holds. This field is displayed on the user access record during the access review. It is optional but may help determine who should review a user access record and what access level that user should have. |
Start date | The employee's first date of employment with the company. This field is optional. If the date field also contains a time, the time is ignored during the import process. π Note Dates on imported records are parsed based on the date formats associated with your locale. If no valid date can be determined, Hyperproof displays an error. See Data interpreted by browser locale for a list of supported locales. |
Manager name | First and last name of the manager for this employee. This field is optional. If you plan to assign direct managers as reviewers during the access review, this field must contain the manager's name. See Using direct managers as reviewers for user access. |
Manager email | Email of the manager for this employee. This field is required if the assigned reviewer for the user access review is the employee's direct manager. If you plan to assign direct managers as reviewers during the access review, this field must contain the manager's email. This email address is used to match up managers with existing accounts or create new accounts in Hyperproof. It is also used for notifications when reviews are due. See Using direct managers as reviewers for user access. |
Employment status | The user's employment status. This information is matched with the user record in the application user access list based on the user's email address. If the email address is not available, Hyperproof tries to match based on the user's full name. |
Importing the CSV file
From the left menu, select Access reviews.
Select the access review you are setting up.
Select the Setup tab.
Under Directory click the name of the directory you want to refresh.
The Details tab for the directory displays.
Click the People tab.
Click the Import link.
A warning displays indicating that all employees in the existing directory will be deleted and replaced by the employees in the new CSV file.
Review the warning message and click Confirm to continue with the import.
Drag-and-drop the CSV file into the Upload CSV File field, or click Select file to upload to browse to the location of the CSV file you want to import.
Click Import.
Hyperproof checks the format within the CSV file to ensure that there are no errors. If any errors are found, Hyperproof displays an error message
If Hyperproof didn't detect any errors, click Next. If there are errors, do the following:
Resolve the errors by double-clicking the cell with the highlighted error and correcting the value.
Remove rows that contain errors by clicking Remove all rows with errors.
Click Next.
The CSV file is imported.
